Cleaning up loose ends

Hi USA Club Families,
Cleaning up loose ends:
1) Sponsorship drive is wrapping up, the club has raised just under $2000 so far.  Please follow up with the business' your family delivered letters to.  If you haven't taken the time to sign up and deliver 2-3 sponsorship letters please sign up.  
---Monday, Sept. 8 will be the deadline to get sponsors names on the back of team t-shirts.

2) The following individuals have expressed interest in running for the Board of Directors:  If you are willing to run and your name is not listed below please submit your name before Friday, Aug. 22.

Summer Wrap Up

1) Save the date: Sunday, Aug. 24 - 5:00 PM - St. Mary's Catholic Church Summer Banquet/Annual Meeting with board elections/Winter Registration (cost is $4/person - please note if you RSVP your family will be billed for the banquet even if you do not attend - RSVP here )


3) Please fill out a Time and Talent Survey - The General Assembly (also known as club membership) will be electing 3 board members this fall.  If interested in serving the club in this way please contact any current board member or fill out a Time and Talent Survey.

4) Athlete Rep. & Board Nominations Form - If you have already expressed interest in serving on the board you do not need to fill out this form.  The club encourages all athletes that have been with the club to run for athlete rep. nominations due Friday, Aug. 22.

5) Congrats to all our Post Season and Championship swimmers!  Watch your local papers for highlights, multiple press releases have been submitted to Knoxville, Pella, Ottumwa and Newton newspapers.  A huge thanks to Darci Hammer, Julie Purvis, Jennifer Prendergast, Rob Warner, Bryan Gaylor, Kurtis Webb & Kenney Nedder for helping our club meet the required service hours at the LC State meet past weekend.  

6) The Sponsorship Drive is in full swing.  If you haven't signed up for a business or delivered any letters please consider signing up for 2-3 businesses. This is our club's biggest fundraiser.  Team uniforms and 100% of all championship meet fees where paid through the dollars raised last year.  Those athlete families outside of Pellla are encouraged to share the letter with their local communities.  In the past and already this year the club has received great support outside of Pella.  

7) The Pella Post Office has once again changed our club address, it shall read: Pella Community Center

We are hopeful this will be the last change and the club's permanent address.  ​

8) Final summer statements will go out to each family over the next 7 days. Every family will receive a statement with all of the summer season's transactions.  If your family has not brought your account current based on your July invoice you will  be charged a late fee as of Aug. 4.  All accounts were due July 20.  The deadline was extended through the end of the month due to mail issues.

9) Winter programming information/registration will be available the week before the summer banquet on Aug. 24.  

10) Photobucket pictures from the summer season have been made available to all club members.  Most pictures are of Senior swimmers.  Should you have pictures of the 12 & Under swimmers to share please emailpellaswimclub@gmail.com for the information to upload and share.

2014 Sponsorship Drive

Annual Sponsorship Drive

Start Date: July 1
Estimated Completion Date: July 31

Over $4,000 was raised last year through generous donations from local businesses and grants received.  

What was the money used for:
1) Team Uniforms – team suits, caps, t-shirts & coaches shirts
2) 100% Championship meet entry fees paid
3) Secure additional pool time Summer 2014

What to do to participate:
1. Sign up for 4-12 businesses on Google docs – Yellow Column
a) If your family has participated in the past & collected money from a business then your family has been assigned those businesses again (please remove your name from the spreadsheet if you would rather not collect from a specific business)
b) Print and deliver letter provided to business/s (2014 Sponsorship Letter)

2. By Thurs., July 18th – Have all letters delivered.
a) Athletes are encouraged to make the connections with the businesses & wear club shirts. 
b) Last year it took our athletes approximately an hour to deliver 12 letters.
c)  Script to use if your athlete is nervous about approaching a business – included are facts about our club.

Note: some businesses will ask about the club and want more details, others will reach into their cash registers and hand you cash (please have an envelope ready to keep all donations in) while others will kindly let you know they do not participate in these types of fundraisers.  Please make notes on the Google docs spreadsheet.

3. By Monday, July 28th - Follow up with the businesses you delivered the letters to, this is critical to collecting the sponsorship funds.
a) Plan to leave a self-addressed envelope addressed with the business. Some will mail in their donations. Please use the address below:

b) Each family will need to supply the postage and envelopes for their assigned businesses.


4. Thurs., July 31 –  Drop money collected & paperwork into lock box at Pella Community Center and update totals collected on Google Docs.  If you do not live in Pella please email: PellaSwimClub@Gmail.com to make arrangements for someone to pickup the donations.

STATE MEET VOLUNTEER REQUIREMENTS

A huge THANKS Jill DeVries, Kenny Nedder and Kurtis Webb for officiating at the State Short Course meets.  Our club will not be required to provide any additional volunteers this year.

Each club is required by ISI (Iowa Swimming Inc.) to provide so many volunteers based on the number of entries at state meets. If a club does not provide those volunteers, the club will receive a fine from ISI and the host club. Should an athlete be competing at the State Short Course or the State Long Course meets, the athlete’s family must plan to volunteer to time or officiate. When an athlete registers to swim in a session, the family also commits to provide a volunteer for that session should those sessions be assigned to Pella Swim Club by ISI and the host club to fulfill our required volunteer assignments.

It is understood all volunteers need to attend a short meeting/training held prior to the session they will be volunteering for. Should a family be unable to fulfill its duty as called upon, the family must find a replacement. If a replacement is not found the family forfeits the use of sponsorship dollars and their account will be billed for state entry fees. If a family emergency takes place and your athlete does not compete or becomes ill and the family is unable to fulfill its volunteer duties, please contact the Club President and Coach promptly.

All families will be given 48 hours prior to the start of the state meet as to the volunteer requirements for the Club as set by ISI and the host club. The Coach and Board reserve the right to assign families to these volunteer duties should no one step up to volunteer prior to the session. A volunteer schedule will be published prior to the start of the meet on the club website/blog.   Effective July 29, 2013

In The News - Pella Team Iowa All-Stars

Four Pella Swim Club members were selected to represent Team Iowa at the 30th annual Midwest All-Stars Swim meet.  The January 11-12 meet was hosted by the Aquahawks of Lawrence, KS. Team Iowa had 90 swimmers selected to the team from 22 clubs across the state. In early December athletes submitted applications and the five fastest applicants in each event were named to the team.  Team Iowa competed against top ranked swimmers from Colorado, Kansas, Missouri, Nebraska, and South Dakota.

The local athlete’s representing the 10 and under men included Zachary De Vries and Eli Eekhoff both swimming the 50 & 100 Breaststroke.  Caleb Gaylor was selected to swim for the 13-14 year old men in the 100 Butterfly and Alexis De Vries represented the 13 -14 year old women in the 100 breaststroke.  This was Caleb and Zach’s second All-Star’s team experience while it was Alexis and Eli’s first time being named to the team. The four athletes swam personal bests in four of six individual events and will build on this experience as they prepare to qualify for the Iowa Swimming State Championships held at the end of February.
